Family Portal — Terms & Conditions

The Family Portal is run by VRHS Drama Boosters, Inc., a volunteer parent organization that supports the theatre program at Vista Ridge High School, working in close coordination with the theatre directors. We provide the portal to make things easier for families — one place to see fees, sign forms and pay, instead of paper and reminder emails. Using the portal means you accept the terms below. If you do not agree with them, please contact us at support@vrhstheatre.com and we will make other arrangements for handling your student's fees and forms.

1. Who we are

VRHS Drama Boosters, Inc. is a volunteer-run booster organization. We operate this portal in close coordination with the Vista Ridge theatre directors, who tell us who is taking part in what and what each activity costs, so that what you see here matches what the theatre program expects.

We are, however, a separate organization: we are not Vista Ridge High School and we are not Leander ISD. The portal is ours, not the school district's, and nothing in it is part of your student's official school record. Questions about grades, class enrollment, or school policy should go to the school, not to us.

2. Who may use the portal

The portal is for anyone taking part in Vista Ridge High School theatre in any way — in a theatre class, in a production on stage, on a crew, in technical theatre, in the club, or helping out in some other capacity — and for their parents and guardians. Your student does not need to be enrolled in a theatre class to have a record here.

You can sign in if your email address appears on a student's record: either as the student's own address or as a listed parent/guardian address.

If you should no longer have access to a student's record, or someone is listed who should not be, tell us and we will remove them. We can also end any active sign-in immediately.

3. How signing in works

There are no passwords. You enter your email address (or your student's ID) and we email you a sign-in link. A few things follow from that, and they matter:

Tell us straight away at support@vrhstheatre.com if you think someone else has reached your account, or if you lose a device that is signed in. We can sign that device out remotely — we keep a list of the devices signed in to each account and can end any of them, which takes effect the next time that device loads a page. You do not need the device in your hand for us to do it.

4. What other people can see

Please read this one carefully. Every email address listed on a student's record sees the same information for that student — fees, balances, contracts and payment history. That includes the student's own address and every parent/guardian address on file. Separated or divorced parents who are both listed will each see the same records, including payments made by the other.

If that is not appropriate for your family, contact us and we will adjust who is listed. A parent or guardian can also remove another guardian's access from within the portal, except their own.

5. Signing forms electronically

Some contracts and permission forms can be signed in the portal by typing your name and confirming. An electronic signature is intended to be as binding as a signature on paper. When you sign, we record your typed name, your email address, the date and time, your IP address, and the browser you used, so the signature can be verified later.

Only the person a form is addressed to may sign it: a student form must be signed from the student's own sign-in, and a parent form from a parent's. Do not sign on someone else's behalf. If you would rather sign on paper, contact us and we will arrange it.

6. Fees

Fees shown in the portal are assigned based on the classes and productions your student takes part in, and on the rules the board has set. Fees marked optional are genuinely optional and are not counted in the balance you owe.

We do our best to keep the portal accurate, but if a fee looks wrong, please ask before paying it — contact us at support@vrhstheatre.com. Participation in some activities may depend on fees being paid or on arrangements being made; the theatre department and the board decide that, not the portal.

8. Donations

VRHS Drama Boosters, Inc. is a 501(c)(3) non-profit organization, and donations are tax-deductible to the extent allowed by law. Unless we tell you otherwise at the time, you receive no goods or services in exchange for a donation. Donations are non-refundable. Keep your emailed receipt for your records.

Money given to a named fund or campaign is used for that purpose where practical. If a need is already met or circumstances change, the board may direct it to the theatre program's general support instead.

9. Ticket Sales

Tickets for Vista Ridge High School theatre productions are sold through our online seat selection system. All ticket sales are final — we do not offer refunds on ticket purchases, including complimentary tickets.

10. Photos and anything else you upload

If you upload a photo — for example for a student fundraiser page — you confirm that you have the right to use it and that everyone identifiable in it is happy for it to be shown. You give VRHS Drama Boosters, Inc. permission to display it in connection with theatre fundraising. You keep ownership of your photo.

Do not upload anything unlawful, misleading, or inappropriate for a school audience. We can remove any uploaded content, at our discretion, without notice.

11. What we record about your use

Running a portal that handles money means keeping records. We log:

We keep this to answer questions like "was this fee paid?" and "who signed this form?", and to spot misuse. Portal activity records are deleted automatically after 180 days. Financial records are kept as long as the organization needs them for its accounts.

These records are visible to booster board members and site administrators. We do not sell your information and we do not share it for advertising. We share it only with the services that make the portal work (our email provider and Square), with the theatre department where it concerns participation and fees, and where the law requires it.

Administrators can also view the portal as your family sees it, to help with support questions. That view is strictly read-only — nothing can be changed or paid from it — and it is recorded.

12. Students and minors

Most students in the program are under 18. Student information in the portal comes from you and from the theatre department, and is used only to run the theatre program and its finances. Parents and guardians may ask us at any time what we hold about their student, ask us to correct it, or ask us to remove it — subject to the financial records we are obliged to keep.

Students who sign in with their own school email address see their own fees and forms. If you would prefer your student not to have portal access, tell us and we will remove their address.

13. Using the portal properly

Please do not try to reach another family's records, share sign-in links, interfere with how the site works, or use automated tools against it. We may suspend access to the portal if it is misused, without affecting anything you already owe or have paid.

14. Keeping your details current

Please keep your email address and contact details up to date, and let us know when a student leaves the program. Fee reminders, sign-in links and payment receipts all go to the address on file, and we cannot help with mail that went to an address you no longer read.

15. Availability

The portal is built and maintained by volunteers and is offered as-is. We cannot promise it will always be available or free of errors. If the portal is down or a figure in it is wrong, that does not change what is genuinely owed or genuinely paid — the booster board's own records govern. Please tell us about anything that looks incorrect.

16. Changes to these terms

We may update these terms. The date at the top shows when they last changed, and we will show you the current version when you next sign in after a significant change. Continuing to use the portal after that means you accept the updated terms.

17. Ending access

You can stop using the portal at any time and ask us to remove your access. We may end access for anyone who no longer has a student in the program, or who misuses the portal. Financial records and signed forms are retained after access ends.

18. Governing law

These terms are governed by the laws of the State of Texas.
